Getting started & Training

Q

How long does it take to start up a new account?
A

Once we initiate the client activation process, it generally takes less than two business days to start the no-obligation free trial, depending on the availability of the client resources for the set-up process.
Q

Is training required at the start-up and how do you intend to organise training?
A

Our system is as simple as using any e-mail service. We provide our clients with a quick user guide that demonstrates the step-by-step processes involved in using the system. During start-up we also organise a free, brief introduction session for our clients’ staff so that they become familiarised with the system.
Q

What digital input devices are supported for dictation?
A

We support most of the digital voice recorders available in the market – Olympus, Sony, Panasonic, etc. Further, we have solutions to use your iPhone or Windows based smart phones as a digital dictation device making it simpler for you. We support all audio file formats and recommend that the audio is of good quality and recorded as per best practices of dictation.
Q

Can you refer to any knowledge articles on dictation best practices?
A

Good dictation practices help reduce errors and turnaround time. We suggest that interested individuals refer to the power-point presentation distributed by the Association of Healthcare Documentation Integrity (AHDI), USA – Dictation Best Practices.

Reports & Quality

Q

What is the format of your transcribed files?
A

All the transcribed files are in Microsoft Word document format.
Q

What is the accuracy in your reports?
A

We strive for 100% accuracy in our deliverables and we assure a minimum 99% accuracy rate.
Q

What steps do you take to ensure accuracy?
A

Our transcription process goes through 3 functional layers of production –
Medical Transcriptionist – Our experienced Medical Transcriptionists transcribe audio files into MS Word documents.
Proof Reader – Our Proof Readers (senior medical Transcriptionists) proofread the completed documents while simultaneously listening to the audio files in order to identify/fix any errors or fill any blanks (left out if the transcriptionist was unsure of the word/phrase/accent).
Quality Analyst – Our Quality Analysts check for any blanks/doubts left out by the Proof Readers and correct them where required. Our Quality Analysts also proof-read the entire document where they deem it necessary.

Turnaround & Pricing

Q

What is your turnaround time and do you offer Short Turnaround Time (STAT)?
A

Our turnaround time depends on the dictation upload pattern of our clients. If we can have an estimate on a fixed pattern on the number of average patients per session (letters) and the days of the week that we can expect letters uploaded after the session, in such cases we can offer a turnaround of 24 hours. In the scenario of unplanned uploads we can provide turnarounds on a case-by-case basis and depends on the volumes of the backlogs or dictations uploaded. Such turnarounds can start from 36 hours and up.
Q

What is your pricing metric and how can it benefit your client?
A

We follow the worldwide standard pay per line pricing metric, which is regarded as the most cost-efficient and quantifiable method of pricing for medical transcription services. Accordingly we charge only for what we type.
Q

What is your definition of line?
A

We follow the standard international definition of a line – 65 characters/keystrokes including spaces between characters, quotes, commas and full stops.

Privacy

Q

Is there a legal agreement involved?
A

Our client agreement ensures that we provide a commitment to deliver our services under stringent privacy and confidentiality terms. Our agreements do not have any fixed term or fixed volume contracts.
